A husband and wife and a grown, independent child, are looking for a long-term personal assistant to assist them with admin for their household and business. They are based Kensington, W8 (home) and Central London, W1 (office).
£55,000-£65,000 gross per year depending on experience
A successful and professional family are looking for a personal assistant to help them with both business and personal admin duties. They live in a beautiful property in Kensington, and their office is in Central London. They have one grown up child and have properties abroad. They have no pets. The father and mother are both busy with business and personal daily life - and are keen to find a long-term member of staff to help them in both personal and business administration and day-to-day family life. They have a housekeeper who attends the property during the week
Your role will be a mixture of both personal/family PA duties and executive PA duties. You will be dealing with accounts and managing paperwork on the investments. Providing day to day support and running errands like going to the dry cleaners, through to daily business admin and tasks. Planning and booking holidays and organising any family and business events. Putting structures and processes into place for all admin processes and creating a filing structure for existing paperwork. Any admin related to the household and keeping track of the dairy and schedule. Dealing with all contractors and arranging for maintenance work to be done as well as dealing with other staff members in the household. Ensuring that any staff (such as the housekeeper) pay roll, and any other tasks surrounding the management of the family staff are dealt with efficiently. The family have properties abroad so you will be managing these properties and organising contractors abroad as well so you will occasionally need to travel to the family’s overseas properties. You will be involved in the setting up of new investments and new business ideas, for which you are expected to provide the ground research and assist in the implementation. Managing the social media and marketing for their business would be a valuable asset as well. The family are in the process of setting up a foundation, so you'll be able to be creative and engaged with this setup, and help develop strong business and organizational approaches for the foundation to have from its setup.
You should be confident with all aspects of administration (for both family and business), management of property, and arranging travel arrangements for the family. You should have excellent IT skills so you can help prepare business related documents and work. Most importantly you should be willing to be reactive and pro-active. Happy to help with day to day errands, through to detailed projects. You should be happy to do both aspects of the role, and you should have lots of common sense, able to problem solve and not need to be micro-managed. The couple are keen to find a member of staff who will ease the burden of daily admin and tasks - and you should rise to the challenge!
Approx. 20 hours each week will be focused on the personal admin, but this may shift each week as tasks increase or decrease. The rest will be focused on other business admin and tasks. You should be highly discreet and confidential with the information which is shared with you.
You should have a positive and pro-active approach, willing to step in to help during the busy daily life. You should be enthusiastic, and willing to adapt. You should be confident in your skill set and be able to hit the ground running. You should have relentless attention to detail, be pragmatic and practical in your approach.
The couple live in Kensington London, W8. You will either be working at their home, at the office in Central London, W1 or be working remotely. This will be flexible depending on the needs of the tasks each week.
- Monday – Friday
- 40 hours per week, with flexibility for when these hours are performed.
- Typically the hours will be 9am – 5pm, but there is some flexibility to work in the afternoon/evening depending on the families diary
- You should be happy to be flexible and keep an eye on emails over the weekends during busy periods.
You should speak excellent English, and a second language of Spanish.
