A principal based in Woking, Surrey, GU23 is looking for an experienced and trusted Personal Assistant/Property Manager to join their team to help with business and personal admin as well as managing their rental properties. You will need to drive and have your own transport for this role.

Package Offered

  • £32,500 - £35,000 gross per year 

Client Background
A client who has their home and office based in Woking, Surrey, GU23 is looking for a new PA/Property Manager who is happy to work alone in the office. They are looking for someone with a can-do attitude who can use their own initiative and work well with the other members of the team. Relevant property management, secretarial and administration experience is essential to this role and experience of working on a private estate is preferred. 

Duties
Secretarial/PA

  • Assisting with correspondence 
  • Monitoring and responding to email requests in a timely manner 
  • Support with PA duties as required
  • Ordering Stationery and other items
  • Scanning of Invoices for accounts department
  • Minute Taking
  • Filing/Archiving
  • Renewal of residential car parking permits
  • Arranging meetings via Zoom
  • Support with IT issues
  • Arranging social functions (Christmas lunch)

Recruitment

  • Placing adverts, liaising with recruitment agencies and scrutiny of CVs 
  • Arranging interviews and setting up Zoom meetings

Property Management

  • Undertaking all statutory requirements when due. i.e Gas Safety, Domestic Electrical Installation Condition Report and Portable Appliances testing
  • Liaising with agents to initiate marketing
  • Organising professional end-of-tenancy cleaning where necessary
  • Managing all maintenance issues and instructing contractors 
  • Providing meter readings to various utility companies
  • Purchasing and maintenance of white goods for rental properties including fixtures and fittings when necessary
  • Checking and approving invoices related to property maintenance
  • Rental of Barn for social functions including booking, organising cleaning and handling deposits
  • Scrutiny of Check-In and Check-Out inventories ensuring resolution of any oversights
  • Managing maintenance of the commercial lets and organising contractors
  • Property maintenance of proprietor’s main residence

Farm

  • Red Tractor Assurance- arranging and overseeing annual inspection
  • Pasture agreements – drafting of Profit of Pasturage Agreements
  • Skip ordering
  • Vulcan annual inspections

Health & Safety

  • Maintenance of risk assessment records
  • Follow up on NFU recommendations
  • Arranging First Aid courses

Other

  • Arranging and following up on any maintenance issues and arranging annual inspections
  • Arranging maintenance of farm gates when necessary
  • Arranging estimates and visits by tree surgeon
  • Overseeing Insurance Claims
  • Any ad-hoc printing of travel documents/documentation as required 

Location
This is a live-out role in Woking, Surrey, GU23. You should be within an easily commutable distance to apply. You will need a driving license for this role.  Own transport needed.  

Days/Hours

Working Monday to Friday, 9am – 5pm

Languages
You should speak excellent English for this role and have impeccable correspondence skills.  

Special Skills
You should have experience working as a property/lettings manager and possess excellent organisation & communication skills, have an eye for details, be discreet and a “can do” attitude.
