A family who have re-located to Milan, Italy in the last year, are looking for a new, long-term family PA to work for their family. You should speak fluent Italian. You should ideally have a background of working in the arts or entertainment world, as the family's business is in the art world, and they would like to have a candidate with knowledge of this industry.

A father and mother with three children (aged 8 and twins 6) re-located to Milan, Italy a year ago. The parents work within the art world, and work internationally in London and Sweden. The father grew up in Italy and both the mother, father and children speak Italian and English. They have a full time nanny and housekeeper. The family are busy with life, work and they currently have a full time PA, however she was a young graduate, and is looking to move on. The family is keen to find a new, long-term candidate, who has experience and focus - and can provide valuable support for the family. They have no pets. They had a new PA start recently with their family, but due to very sad circumstances, the PA has had to leave for personal reasons, and now the family are looking for another lovely PA to work for them.
You will be in charge of all management in relation to the family; all planning, organisation and appointments for all children, as well as for the mother and father. Family administration, management of the property dealing with the housekeeper and nanny etc, and the travel arrangements for the father with his work and for the family holiday's etc. You should have excellent IT skills so you can help prepare business related documents and work, and be willing to help with all aspects of admin with his work and family admin. You may be asked for additional support with family duties such as picking up and drop off from school, and also taking the parents to the airport/picking up when they return.
You should have a positive and pro-active approach, willing to step in to help the family during the busy daily life. The family have regular private events, and need help with the event management. There are regular dinner parties and you should be happy to oversee this when possible. All children's diary and family diary should be managed by yourself, to include socials, holidays, parties. There is a natural cross over from personal admin and business admin, so you should be happy to do both. You should be enthusiastic, and willing to adapt as the families needs develop. You should be willing and flexible to help support them as a PA in all family aspects. As a busy working couple, efficient and regular communication is critical. Both parents have their own businesses in London and will require their family PA to liaise with their teams there on occasion. Letting them know when a task has been completed, and updating them on the status of tasks that are taking longer, is essential.
Excellent organisational skills are a must and a sunny can-do attitude. Ideally the candidate will be someone who relishes the challenges of the job, loves finding solutions for tasks large and small and who is comfortable around children.
Monday - Friday, 9am - 6pm. With evening or weekends when agreed in advance. You should be happy to check your emails once or twice over the weekend and reply to any urgent ones.
The family live in Milan, Italy. They are willing to consider applications from all around the world, however will not provide accommodation. Familiarity with living in Italy is very useful.
You should speak English and fluent Italian.
You should be looking for a long-term role, and be flexible. There is room to grow the role over time. You should be excellent at IT. If you have a driving licence this is a bonus.
