A private family based near The Regent's Park, London, NW1 are looking for a new Executive Assistant to join their team. This is a semi-remote role, working part of the week from the family office at the property and partially from your own home.

The family have recently moved back to the UK from the USA. They are seeking a highly professional and experienced EA / PA, willing to join their team and commit to the family for a long-term position. Having moved back from America they require a London-based EA to help manage their affairs while here. The family does have a full team that assists with handling their business dealings and as such this role focuses purely on the family’s personal affairs. The family travel regularly and often visit the USA, whilst you are not necessarily required to travel with them, the ability to do so is important.
Duties
You will be supporting the couple with a range of EA and PA duties. service, household management and organisation, while prioritising extensive travel, diary and calendar management.
The ideal candidate for this role will have experience as a professional personal assistant, and ideally EA experience, adaptable to formal, professional and informal environments. You should have strong organisational skills and operate with finesse. You must be flexible and reliable as plans can change frequently, and often at short notice.
You should be well-presented, professional and a discreet individual who understands the importance of confidentiality. Overall, the quality of your service must be the very highest - providing effortless and discreet service for the principals and their guests.
You will be assisting with event planning and execution, such as parties or social gatherings. You will be meeting and greeting guests and ensuring that the principals and their guests have everything they need.
Should you be skilled at personal valeting duties, from wardrobe management through to clothing care, this would be a bonus. You should have knowledge of running and organizing households and be an excellent leader. You will oversee repairs, contractors and maintenance within the property.
You will be the main point of contact for the principals and must be a good team player with excellent communication. One of your primary duties will be professional calendar, travel & diary management, for which, exceptional levels of organisation and responsiveness are required. You will also be expected to make international travel arrangements including organising VISAs, transport and accommodation as well as carrying out any other ad-hoc duties.
You must be willing to travel with the family should they require you to. Additionally,
working constructively and proactively with the other members of staff including the Nanny and the long-serving but now part-time, House Manager, is paramount. Liaising with all relevant parties for calendar management, reliably and efficiently.
You should be IT literate, able to deal with the different databases and processes that the family uses and learn quickly how to operate and use them. Able to organise the most efficient travel routes door-to-door, and have an understanding of luxury accommodations and the couple’s restaurant preferences. As well as:
- Be responsive to emails and phone calls.
- Arrange personal appointments.
- Process of invoices and expenses.
- Manage of extensive contacts database including key events/dates.
Fundamentally, the role requires an organised character and a good team player. Someone happy to work constructively within a small team to ensure that the family’s personal lives run smoothly. You must be happy to work around a child and be flexible to pitch in with various tasks should the moment call for it. Being generally positive and energetic when interacting with the family and their staff.

The family are based near The Regent's Park, London, NW1. This is a semi-remote role, working part of the week form the family office at the property and partially from your own home..
Days/Hours
- Monday to Friday, 9am – 6pm
- Flexibility is expected with working hours and is crucial for the role in general.
- Additional hours will be paid as overtime or time off in lieu
Languages
You should speak English fluently.

You must be discrete, professional and flexible for this role and have excellent organisational skills.
